From Meeting Notes to Action Items
Meetings produce two things: decisions and tasks. Both routinely evaporate because turning a messy conversation into a clean record is boring work nobody owns. This is a task AI does genuinely well — if you give it the right raw material.
Start with what you actually have

- "pricing — sarah says wait for Q3 numbers"
- "landing page copy due fri (me)"
- "raj to ask vendor re: API limits"
The prompt pattern
Paste your notes and ask for exactly three sections:
- Decisions made — one line each, stated as facts.
- Action items — each with an owner and a deadline if one was mentioned. Items with no owner get flagged, not assigned.
- Open questions — things discussed but not resolved.
That third section is the quiet hero. Unresolved items are what get lost between meetings, and listing them explicitly is how you avoid re-having the same conversation in two weeks.
The rules that keep it honest
- Flag, don't invent. Tell the AI: "If no owner or date was mentioned, write 'unassigned' — do not guess." Without this instruction, models happily assign tasks to whoever was mentioned nearby, which is how Raj ends up owning something he's never heard of.
- Send it while memory is fresh. The cleaned-up version is only trustworthy if you review it the same day, while you can still catch "that's not what we decided."
- You confirm the ambiguous ones. If the notes say "someone should check the contract," the AI can flag it, but a human has to actually assign it.
Why this beats doing nothing
The alternative to imperfect notes isn't perfect notes — it's no notes, and a week of "wait, what did we decide?" A five-minute AI cleanup pass, reviewed by you, produces a record that's 95% right and 100% better than nothing.
